Important Information

This policy applies to all bookings made through Ritham Tours & Travels. Please read carefully before making a booking.

1. Cancellation Policy

1.1 Customer-Initiated Cancellations

1.2 Company-Initiated Cancellations

  • Full Refund: If we cancel your booking due to vehicle breakdown, driver unavailability, or other operational issues
  • Alternative Service: We will try to provide an alternative vehicle or reschedule your trip
  • Force Majeure: In case of natural disasters, government restrictions, or other uncontrollable circumstances, we will provide full refund or rescheduling options

2. Refund Policy

2.1 Refund Processing

  • Refunds will be processed within 5-7 business days after cancellation approval
  • Refunds will be credited to the original payment method used for booking
  • For online payments, refunds will be processed through Razorpay payment gateway
  • Bank processing time may take additional 3-5 business days

2.2 Refund Calculation

Refund Amount = Total Paid Amount - Cancellation Charges - Payment Gateway Charges (if applicable)

Note on Payment Gateway Charges

Payment gateway charges (typically 2-3% of transaction amount) are non-refundable as per Razorpay policy and will be deducted from the refund amount.

3. Modification Policy

3.1 Trip Modifications

  • Date/Time Changes: Allowed up to 12 hours before trip start time (subject to availability)
  • Route Changes: Additional charges may apply based on distance and duration
  • Vehicle Upgrade: Price difference must be paid at the time of modification
  • Vehicle Downgrade: Difference amount will be refunded as per refund policy

3.2 Modification Charges

  • First modification: Free (if done 24+ hours before trip)
  • Subsequent modifications: ₹100 per modification
  • Modifications within 24 hours: ₹200 per modification

4. Special Circumstances

4.1 Weather-Related Cancellations

  • Heavy rain, floods, or extreme weather conditions
  • Government advisories against travel
  • Road closures due to weather
  • Policy: Full refund or free rescheduling

4.2 Medical Emergencies

  • Customer illness or medical emergency
  • Family emergency requiring immediate attention
  • Policy: Reduced cancellation charges (50% of standard charges) with valid medical certificate

4.3 Vehicle Breakdown During Trip

  • Immediate replacement vehicle will be arranged
  • If replacement not possible, proportionate refund for unused portion
  • No additional charges for breakdown-related delays

5. How to Cancel or Modify

5.1 Cancellation Process

  1. Visit our Cancellation Page
  2. Enter your booking number and contact details
  3. Select cancellation reason
  4. Submit cancellation request
  5. Receive confirmation email with refund details

5.2 Alternative Contact Methods

6. Refund Status Tracking

  • Check refund status on our Booking Status page
  • Refund confirmation will be sent via email and SMS
  • For queries, contact our customer support team

7. Dispute Resolution

  • All refund disputes will be reviewed within 48 hours
  • Customers can escalate unresolved issues to management
  • Final decisions will be communicated within 5 business days
